When you start working with Payroll Network, you will be assigned an Installation Analyst. Our knowledgeable Installation Analyst will integrate the software into your system. Then, the Installation Analyst will assist you in creating a company profile.

Payroll Network coordinates with your Administrator to offer you a seamless payroll/401(k) integrated solution; thereby minimizing the work involved in submitting your 401(k) information to your retirement product company and eliminating your need to fill out requests for census data. However, there are some administrative aspects to running a 401(k) that your Third Party Administrator (TPA) cannot do – namely remitting your 401(k) payroll deductions each pay period and getting your employee census data without asking you to complete our census template. In addition, with the Department of Labor's new guidelines on the timing requirements for 401(k) payroll deposits, TPAs have begun advising all clients that they must remit employee deferrals each payroll period and generally, within three days of each pay date. Most 401(k) investment providers are now requiring ACH debit of payroll deposits, which is the only way to ensure timely remittance within DOL’s guidelines. Payroll Network offers a flexible solution for these issues. Payroll Network offers an integrated solution that ensures timely and accurate retirement deposits with same day transaction processing, calculation of your employer match (if applicable) and can provide your TPA with complete employee census information throughout the year. Plan Sponsors save significant administrative time while avoiding potential penalties that are incurred for late deposits.
The seamless payroll/401(k) integration solution requires that Payroll Network be granted access to your company’s retirement plan for the transmittal of periodic deposits and annual census information. To authorize access, you’ll complete, print and sign an “Information Sharing Authorization” form and fax the form to your TPA, the Retirement Product Company and Payroll Network. Upon receipt of your authorization, Payroll Network will coordinate and implement the appropriate procedures to ensure timely, complete, and accurate funding of your company’s 401(k) plan. The information is transmitted by FTP services via the Internet using secure encrypted files. You’ll process your payroll as usual. Payroll Network receives your company’s payroll information, processes the payroll, creates a secure encrypted file of your 401(k) information and transmits it to the Retirement Product Company. The Retirement Product Company sends an email confirmation of receipt to Payroll Network’s Production Control Department. You may log into your Retirement Product Company’s web site to view the transmission’s confirmation number. The Retirement Company impounds the money from your company’s designated bank account. (Alternatively, Payroll Network will send an ACH transaction or create a check with each payroll process.)
Payroll Network will process your Census data periodically or upon request. No effort is required on your part. Payroll Network will generate your Census file in the appropriate format within 24 hours. The appropriate data is extracted from your company payroll database, compiled into a secure encrypted file and transmitted by FTP services with notification to appropriate organizations. Your Retirement Product Company confirms receipt of the file with Payroll Network’s Production Control Department by email. You may log into your Retirement Product Company’s web site to view the transmission’s confirmation number.

It’s up to you. We can deliver your payroll via email, on CD or by mail or courier service; the latter service is “bonded”. We process paper checks for your employees, and vouchers for those Direct Deposit. You decide which method is most convenient for you.
